When you're processing a registration on the Admin Website and the Client doesn't have their own payment method, you can use another Client's Guest Pass to cover the registration. This is the fastest way at check-in to apply a Guest Pass from a friend or family member who has a Guest Perk available.
When to use this
A guest is walking into class with a friend who's a current Member.
A current Client wants to buy a guest into a Class without leaving the studio.
You need to apply a Guest Pass for a Client who doesn't have an app account and can't do it themselves.
Where to find it
The Use someone's guest pass button appears on the payment modal for any registration. You can get to it from any check-in screen.
Step by step
From the Live Schedule, open the Class, Event, or Series.
Click View Details to open the roster.
Register the Client (the guest) if they're not already registered.
Click the dollar sign next to the Client's name to open the payment modal.
At the top of the modal, click Use someone's guest pass.
Search for and select the Client whose Guest Perk you want to use.
The Client's applicable Guest Perks are listed — choose the one that applies to this Class or Service.
Confirm to send the Guest Pass.
The system immediately deducts one use from the source Guest Perk, creates a Guest Pass on the registered Client's account, and applies it to the registration. The check-in screen now shows the registration as paid, with the two purple people Guest Pass icon.
What if the source Client has no applicable Guest Pass?
If the source Client doesn't have a Guest Perk that applies to the Class you're registering for, the search will return no usable options. In that case, your alternatives are:
Use Change who is paying instead — this lets the source Client purchase an item for the registered Client or pay for the single registration directly.
Sell the source Client a pack or drop in to pay for the Guest’s registration.
Permissions and limitations
Any Admin role can use this feature — Company Admin, fitSpot Admin, Manager, or Team Member.
The flow is only available on the Admin Website. The OnTheGo App does not currently support Use someone's guest pass at registration. Instead to leverage another client’s guest pass from the OTG app you would select to Change who is paying.
You can use this on any registrable type that the source Client's Guest Perk applies to — Classes or One-on-One Appointments.
Things to know
The Guest Pass icon on the check-in screen is two purple people. If you see that icon next to a Client's name on a roster, their registration was paid with a Guest Pass.
If the registered Client cancels out of the Class within the early cancellation window, the use returns to the Guest Pass on their account — not to the source Client's Guest Perk.
This flow always uses a fresh use from the source Client's Guest Perk. It can't apply an existing claimed Guest Pass from someone else's account.
