Studio Closure Guide

Closing a studio is a complex moment — both operationally and emotionally. fitDEGREE has built a dedicated Studio Closure Guide that gives you a clear, structured path: how to plan your timeline, communicate with Clients, finalize billing, retire your fitSpot, and what happens to your data after closure.

The guide is designed for the full ramp-down of a fitDEGREE studio — when you're stepping away from the business entirely, not transitioning to a new platform or selling the studio. What's inside the guide

The page walks through the closure process in four phases:

  1. Plan your closure timeline — determine your final Class date, your billing stop date, and align internally before announcing to Clients.

  2. Communicate with Clients — announce closure early and clearly, set expectations for final sessions and billing.

  3. Finalize billing and Memberships — cancel all active Memberships, ensure no future charges, handle any outstanding balances or refunds.

  4. Shut down operations — cancel future sessions, remove booking access, and retire your fitSpot.

What happens to your access after closure

Your Admin Website access and all your data stay fully active after your fitSpot is retired. You can log in at any time to view reports, pull historical records, and access everything you need for tax filing, accounting wrap-up, or any future reference.

What changes after closure:

  • Your fitSpot is no longer visible to Clients in the fitDEGREE App or on your website widget.

  • You can no longer process new sales or registrations.

  • Existing data — Client records, financial reports, transaction history, payroll information — remains available indefinitely.

Payment processing deactivation

This is the most commonly missed step in closure. fitDEGREE does not automatically deactivate payment processing on your behalf. You must contact Payabli directly to close your merchant account, otherwise account fees may continue.

To deactivate: email fitdegree@payabli.com with your studio name and a request to close your merchant account.

Timing recommendation

Plan a two-to-four-week minimum from announcing closure to your final Class. More lead time means cleaner communication with your community and a less rushed wrap-up of the operational side. Studios that close on a 24-hour timeline almost always have loose ends to clean up afterward.

Things to know

  • Closing a studio doesn't delete your fitDEGREE account. You keep your Admin login indefinitely.

  • If you've used a branded app, request removal of the branded app separately as part of the closure process.

  • Cancelled Memberships do not automatically refund Clients for prepaid time. Review what's fair given your cancellation policy and any commitments you've made.

  • If you've changed your mind partway through closure, contact support@fitdegree.com — fitSpots can be reactivated as long as the closure isn't fully finalized.
