Client Account Management

Managing client accounts in fitDEGREE is an essential daily task. This guide provides an overview of the client profile, what each section includes, and how to use it effectively for your business.


What is a Client?

A client is anyone who has interacted with your business, whether by purchasing goods or services or using the fitDEGREE app. Keeping their profiles updated ensures smooth business operations.


How to Locate a Client Profile

From Check-In:

  1. Click on the Live Schedule icon in your dashboard.

  2. Select the class associated with the client you want to find.

  3. Click "View Details" to open the class roster.

  4. Click on the client’s name to enter their profile.

From the Dashboard:

  1. Click the Menu icon.

  2. Select Clients to open the Clients window.

  3. Scroll through the list or use the search bar to find the client.

Search Options:
You can search by first name, last name, full name, email, or phone number to locate a client quickly.


What is in a Client Profile?

Profile Overview

  • The profile image and name appear at the top.

  • If the client uses a different name on their app account, a phone icon will display their "app" name.

  • Buttons for Purchases (cart icon), Registering for classes (calendar icon), and Resetting passwords (phone icon). If the client has never logged in before you will see a welcome email icon instead of a password reset icon.

Details Section

  • Displays the email, phone number, account balance, and saved payment methods.

  • The "See About Me" button provides access to:

    • Basic Information: First name, last name, username, birthday, and last login date.

    • Contact Information: Email, phone, and address.

    • Exempt from Verified Phone Number Requirement: Option to exempt a client from needing a verified phone number.

    • Integration Sync Options: Toggle data syncing with other integrations.

    • Relationships & Merging Accounts: Add family members or merge duplicate accounts.

Active Items

  • Lists active memberships, class packs, one-on-one packs, and intro offers.

  • Clicking on an item provides additional details.

Financial & Billing Details

  • The "Details" section includes the client’s account balance and saved payment methods.

  • A "Manage Account Balance" link allows adjustments.

  • Active Bills lists categorized paid and unpaid bills. Clicking "See All Bills" expands the view.

Internal Memos & Health Considerations

  • Staff can add private notes for internal use.

  • Starred memos appear on class rosters, alerting instructors to important client details (e.g., injuries or allergies).

Upcoming Registrations & Recent Sales

  • Displays upcoming class, event, or series registrations.

  • Clicking "See all Registrations" shows the full registration history.

  • Recurring Registrations are listed separately.

  • Recent sales history shows transaction details, with an option to expand to all past sales.

Signed Waivers

  • Displays waivers signed by the client, including title and date signed.

  • Clicking "Request a Signature" sends the waiver to the client via the app, blocking future reservations until it is signed.


Additional Notes

  • Referral tracking is not part of client profiles. Studios can track referrals using the Referral Conversion Tracking Report in the admin panel.

  • Profile requirements (such as mandatory fields) can be customized in the Company settings. If you do not have access, email [email protected] for assistance.
