How to Change your Cancellation Policy

Things to Consider:
  • fitDEGREE has provided pre-made cancellation policy options within your profile. Read through each and determine if it is necessary for your business to craft their own.

Step-by-Step
  1. From your dashboard, click the menu icon in the top left corner 
  2. Within the dropdown menu options click "Setup"
  3. On the left hand side at the top under "Schedule Items" select "Cancellation Policy"
  4. Once you click into Cancellation Policy Tab, the 4 policies that come with the software will be listed: Contact Studio, Flexible, Moderate, Strict
  5. Select a policy which works for your business model or create your own
    • If creating your own policy click the “+” icon at the top and fill out all required fields: early cancellation refund policy, fee for early cancellation, late cancellation begins how many hours before class, late cancellation refund policy, fee for late cancellations for limited item (class packs and memberships) and unlimited items
  6. Create cancellations policies for classes, series, events and OOO sessions. The list Icon at the top lets you then apply the default policies for all these scenarios. 
  7. Cancellation policies are then tied to a class group, so you can have different policies for different classes (ex. in-person vs. Virtual) 

Things to Note: 
This policy can be viewed in each registration screen on the mobile application by clicking on the Cancellation policy button. The client can also view policy upon cancelling their reservation, as a reminder of the policy in place. The policy is also included in the Cancellation email that is sent after a reservation is cancelled. 

Cancellations policies that grant "automatic refunds" means that the payment will be returned to the payment method used. If a class pack or membership was used to pay for the class, the class will be returned to the "pack" or membership, and the client can use that "class" to rebook. If a "Drop-in class fee", was purchased, the "refund" would return the money to their credit card. Also note that for Events and Series, all automatic refunds would return the money to their credit card, since these cannot be tied to a pack.
