Payscale management in fitDEGREE allows studios to define how instructors are compensated based on class type, experience level, and contract terms. Payscales ensure that instructors are paid consistently based on predefined rules, helping streamline payroll and maintain fair compensation structures.
Key Definitions
Payscale
A Payscale is a grouping of pay rules assigned to a specific team member.
- Each instructor can only have one class payscale and one one-on-one payscale.
- Payscales determine base pay, bonuses, and payout structure based on class groups or service types.
? Example: A Senior Instructor Payscale may have:
- One pay rule for premium classes.
- Another pay rule for beginner classes.
Pay Rule
A Pay Rule defines how much an instructor is paid for each class group or one-on-one service.
- Pay rules must be assigned per class group—if a class group is not assigned a pay rule, no pay will be recorded.
Base Pay Options
- Per Class – A flat rate per class taught.
- Per Hour – A rate that scales based on class duration (e.g., $X/hour for a 60-minute class).
Bonus Options
- Per Check-in Bonus – Pays a set amount per client checked in.
- Total Check-in Bonus – Pays a flat bonus for a range of check-ins (e.g., $10 for 4–10 check-ins, $20 for 11+).
- Payment Method Bonus – Adjusts pay based on how the client paid (e.g., membership, class pack, drop-in).
- Bonus Cap – Studios can set a maximum bonus payout per session to control earnings.
How Payscales Work in fitDEGREE
Assigning a Payscale to an Instructor
Payscale assignments must be manually set per team member under:
? Menu > Setup > Team > Team Members
- Open the instructor’s profile and go to Page 2 under their Bio Section.
- Assign a Class Payscale and/or a One-on-One Payscale (these are separate).
? Common Mistake: Make sure all necessary class groups are assigned a pay rule within the instructor’s payscale.
Class Groups & Payscale Assignments
- Class Groups must be created before assigning payscales.
- Pay is determined per class group, NOT per individual class.
- An instructor cannot have different pay rates for classes within the same group.
? Example:
- If you want to tier pay based on experience (Beginner, Intermediate, Senior), create separate payscales instead of modifying class groups.
One-on-One Sessions vs. Classes
- Classes & One-on-Ones follow Payscale Rules.
- Events & Series do NOTfollow Payscales. Instead, they are paid as:
- Flat rate per session OR
- Percentage-based payout of revenue.
- One-on-Ones can be paid based on a flat rate per session OR a percentage payout of session cost.
Payouts & Adjustments
Handling Pay for Substitute Instructors
- Substitutes are paid based on their assigned payscale.
- If an instructor subs for a class and does not have a pay rule assigned for that class group, they will not have an indicated payout.
- The best workaround is to add a pay rule to their payscale for that group.
What Happens When You Edit a Payscale?
- All past and future payouts will update automatically.
- If an admin updates a payscale today, it will retroactively adjust all past class payouts to reflect the current rates.
? Example: If a class was paid at $20 per session but the payscale was updated to $25, all past classes will update to reflect $25 per session.
Tracking & Managing Instructor Pay
How to Track Instructor Payouts
? Business Reports > Team Member Payout Report
- View detailed earnings per instructor based on their assigned payscale.
- The report separates class pay and one-on-one pay for clear payroll tracking.
Do Instructors Have Access to Their Pay Information?
❌ No, instructors cannot see their earnings in fitDEGREE.
✅ Studios typically export payout reports and share them manually OR use external payroll software.
Final Notes
✅ Class Payscales and One-on-One Payscales are separate and must be manually assigned.
✅ Editing a Payscale will adjust all past and future payouts automatically.
✅ Class pay and one-on-one pay are tracked separately in reports.
✅ Substitutes are paid based on their assigned payscale—ensure they have a pay rule for all relevant class groups.
By structuring payscales correctly, studios can ensure fair and transparent instructor pay, automate payroll tracking, and maintain consistency in their compensation policies.
