How to Request and Manage Your Own Sub Requests in OnTheGo

Modified on Fri, 16 Oct at 11:49 AM

You can ask for someone to cover one of your scheduled sessions directly from the fitDEGREE OnTheGo (OTG) app. You can also check on your requests, add a note, or cancel a request you no longer need.

Before you begin

  • Your studio must have sub requests turned on. If you don't see Sub requests in the app, check with your studio manager.
  • You can only request a sub for sessions you're scheduled to teach.

Find Sub requests in the app

  1. Open OnTheGo and tap More in the bottom-right corner.
  2. Under Menu, tap Sub requests.

Note: Sub requests (under Menu) is for everyone on the team. Manage sub requests (under Admin) only appears for managers and above and is covered in How to Manage and Assign Substitutes in the OnTheGo App.

The Sub requests screen has two tabs:

  • Sub board: coverage opportunities posted by your teammates, grouped into Open and Closed. You'll only see requests you're eligible to cover.
  • My requests: sessions you've asked to have covered, grouped into Active and Closed.

Request a sub

  1. On the Sub requests screen, tap + in the top-right corner.
  2. Choose the session you need covered from the list of your upcoming sessions.
  3. Add a Note if you'd like (optional). For example, share why you need coverage or whether you're open to swapping.
  4. Tap Make sub request.

What happens after you request

  • If your studio approves requests automatically, eligible instructors are notified and can see your request on their Sub board right away.
  • If your studio reviews requests first, a manager approves your request before it goes out to eligible instructors.

When teammates offer to cover your session, you're not covered yet. A manager chooses who covers the class and assigns them. You'll be notified once someone is assigned, and the assigned sub will show on the schedule.

Once a sub is assigned, the request is complete and you're no longer on that session.

Check on, update or cancel your request

  1. Go to More → Sub requests and tap My requests.
  2. Tap a request to open it. You'll see its status, for example that it's open and eligible instructors have been asked to cover it.
  3. From here you can:
    • Tap Add note to add a note, or edit an existing note.
    • Tap Cancel this request if you no longer need coverage. You can cancel anytime until a sub is assigned.

Covering for a teammate

When a teammate needs coverage for a class you're eligible to teach, you'll get a notification and see the request on your Sub board.

  1. Go to More → Sub requests and tap Sub board.
  2. Under Open, tap the request. You'll see the class, date and time, who needs coverage, and any note they added.
  3. Choose a response:
    • I can cover this to offer to take the class. Only offer if you can commit, since you may be assigned.
    • I'm not available to decline.

Offering to cover doesn't put you on the schedule. A manager chooses and assigns the sub, and you'll get a You're covering a session notification if it's you. See Understanding Sub Request Notifications in OnTheGo.
