Approved class lists are named sets of class groups and individual classes that a team member is approved to teach. When the Only show sub requests to instructors approved to teach the class setting is on, these lists decide which sub requests each instructor can see. Instructors don't have access to requests for classes that aren't on their list.
Before you begin
- Approved class lists only affect sub request visibility when class approval is turned on in Sub request settings. See How to Set Up and Enable Sub Management.
- Build your lists and assign instructors before turning class approval on. Otherwise, no instructors will see your sub requests.
Recommended setup: Add each instructor to one approved class list that includes every class they're qualified to teach. You can add someone to more than one list, but it gets hard to track who can see what unless your lists are narrow and you review them often.
Open Approved class lists
- Click Menu, then Setup.
- In the left sidebar, expand Team and select Approved class lists.
Create an approved class list
- Click the + beside the Approved class lists page heading.
- Enter a Name for the list (required). Choose something that describes who it's for, such as Yoga Approved or Yoga & Barre.
- Open the Team members dropdown and select the instructors to include. Use the Search field to find someone quickly.
- Under Approved classes, choose what these instructors can cover:
- Whole class groups: Check the box next to the group name.
- Individual classes: Click the + next to a group to expand it, then check only the classes you want.
- Click Create.
Whole groups vs. individual classes
Select a whole group when instructors are qualified for every class in it. Like class groups in your pricing options, a checked group includes everything in that group, including classes you add to the group later.
Select individual classes when instructors are only qualified for some classes in a group, such as an instructor in training. Classes added to that group later are not included until you check them.
Indicator | Meaning |
|---|---|
Checked box | The whole group is selected |
Empty box | The group is not selected |
Orange minus | Some individual classes in the group are selected |
+ | Expands the group to show its classes |
− | Collapses the group |
Example lists
List name | What to select | Who to add |
|---|---|---|
Yoga Approved | Yoga classes only | Instructors qualified to teach yoga |
Yoga & Barre | Yoga and barre classes | Instructors qualified for both |
Instructor in Training | Selected individual classes | Instructors cleared for only some classes |
Comprehensive Instructors | Entire class groups | Instructors qualified across those groups |
View, edit or delete a list
- Go to Menu → Setup → Team → Approved class lists.
- Click Edit on the list, or open its ⋯ menu and choose View, Edit or Delete.
- When editing, update the Name, Team members or Approved classes, then click Update.
Tip: When an instructor becomes qualified for more classes, update the one list they belong to rather than adding them to a second list.
